AI Phone Agents: What Happens to the Calls You Miss
A missed call is usually a lost customer. An AI phone agent picks up when you cannot. Here is how it works in practice.
In this article
Ask any service business where its customers come from and the answer includes the phone. Ask how many calls go unanswered and the room goes quiet. People on a job, in a meeting or asleep do not pick up, and most callers do not leave a message. They call the next number.
What an AI phone agent does
An AI phone agent answers the calls you cannot. It greets the caller in a natural voice, asks what they need, takes a name, a number and the details of the job, and can book a time in your calendar. Then it sends you a summary and, if you want, the full transcript.
The simplest set-up is also the safest: your phone rings first, and the agent answers only when you do not, or outside working hours.
Where a person must take over
Some calls are not for a machine: an angry customer, an emergency, a negotiation over price. A good agent recognises these, says so plainly and transfers the call or promises a call back within a stated time. Decide in advance which calls it handles to the end and which it only receives.
What to prepare
The agent is as good as what it is told. Before it takes its first call, write down:
- The services you offer and the areas you cover.
- What it may say about price, and what it must leave to you.
- When appointments can be booked, and how long each kind takes.
- Who gets the summary, and how fast urgent calls reach a person.
Saying what it is
In many places the law requires telling callers that the call is recorded, and it is simply right to say that they are speaking with an automated assistant. Callers mind far less than businesses fear, as long as the assistant is quick and useful.
Trying it without risk
Start with after-hours calls only, for two weeks. Listen to the recordings, correct the instructions, and widen its hours when you trust it. Count the calls that became jobs; that number pays for the experiment or ends it.
Voice agents are part of our AI voice and phone services, and they work alongside a chat agent on the website. To hear one answer in your business's name, ask us for a trial.
Questions and answers
Does the agent sound like a robot?
Current voices are natural enough that the conversation flows. It still introduces itself as an assistant, which callers accept.
Can it answer in more than one language?
Yes. It can be set to greet in one language and continue in the caller's.
