Email Triage With AI: An Inbox That Sorts and Answers Itself
Most of an inbox is the same ten messages again and again. AI can sort them, draft the answers and leave you the ones that need thought.
In this article
Open the inbox of almost any small business and you will find the same pattern: price requests, appointment changes, invoices, supplier offers, and a few messages that really need thought. The first four take most of the time. AI email triage gives that time back.
What triage means
Triage is sorting by urgency and kind before anyone answers. An AI assistant reads each new message and decides what it is: a new enquiry, an existing customer, a bill, a newsletter. It labels it, moves it to the right place and marks the ones that cannot wait.
Nothing is sent at this stage. Sorting alone already changes the morning: you open the inbox and see eight messages that need you, not eighty.
Drafting the answers
The next step is replies. For the kinds of message you answer the same way each time, the assistant writes a draft in your tone, with the right details filled in: the customer's name, the service they asked about, your next free date. You read, correct and send. After a few weeks many businesses let the simplest kinds go out on their own, such as a confirmation that an enquiry arrived.
Filling in the forms
A lot of email exists only to move information from one place to another. An order arrives and has to be typed into a system; an enquiry has to become a customer record. The assistant can read the message and fill in the form or the record for you, then show you what it did.
Where a person stays
Complaints, anything about money that is not routine, and anything it is unsure of should go to a person, clearly marked. The rule we use is simple: the assistant may prepare anything, and may send only what you have approved as a kind.
What to automate first
Start with sorting. Then pick the single most frequent kind of message and automate its draft. Measure the minutes saved in a week. Add the next kind only when the first works without surprises.
This is the everyday side of our business automation systems. It pairs well with a personal AI agent that also looks after your calendar. To map what could be automated in your inbox, tell us how it looks today.
Questions and answers
Does the assistant read all my email?
It reads what you connect it to. You can limit it to one address or to certain folders, and it works under the permissions you give.
What if it answers something wrongly?
That is why replies begin as drafts. Only kinds of message you approved are sent without you, and each one is logged.
